Delivery bundle · Pilot engagement

Resolve the handoffs and exceptions in one HR workflow.

We review current cases and drafts, agree ownership, prepare the revised procedure and test it with your team through a first-use review.

Engagement at a glance

Best starting condition

An HR operations leader whose team can map and draft processes with AI but lacks time to resolve handoffs, test a change and put it into use.

Bring what you already have

Bring current process maps, AI drafts, procedures, policies and a small case sample. A process owner, operating team and people who can resolve handoffs need to participate.

Ignite carries

We review real cases, resolve handoffs and ownership, prepare the process map and operating procedure, test normal and exception cases, and complete a first-use review with in-scope corrections.

Your team does

Your process owner approves the revised rules, arranges normal and exception cases, and leads day-to-day use. Technical changes and normal operating work remain separately assigned.

First proposed checkpoint

Week 1: Inspect a small case sample and document the baseline: delays, handoffs, rework or escalations. Timing is confirmed after inputs and access are accepted.

What counts as complete

Agreed normal and exception cases pass the revised procedure, ownership and escalation are recorded, and the first-use review is complete. Distinguish simulation from live operation.

HR workflow delivery

Workflow Improvement Sprint

Proposed pilot: 4-6 weeks; one defined HR process or handoff.
Resolve handoffs, test one improved HR process and complete its first-use review.

What needs to be clarified first

Only when the presenting evidence cannot identify a bounded process, the owner or decision rights are unclear beyond the sprint, or a broader assessment is genuinely needed to select the work.

When another starting point fits

No process owner or operating team can participate, the buyer only needs cosmetic document cleanup, or the real requirement is enterprise HRIS implementation or open-ended administration.

Separate scope

Enterprise HRIS implementation, custom integrations and open-ended HR staffing are excluded. Automation and technical changes are separately scoped after feasibility review.

What you can expect.
Fixed-term project

What it clarifies

The process boundary and operating baseline; normal and exception cases; decision rights and handoffs; operating ownership; first-use evidence and open exceptions.

What you receive

  • Current and future process maps
  • Decision-rights and responsibility matrix
  • One operating procedure and exception route
  • Agreed normal and exception test cases
  • Design review, first-use review and exception log

See the work: Handoff and test record

Illustrative example of the record we use.

  • Handoff: Request received → intake checked → owner assigned
  • Acceptance rule: Required information and decision rights agreed
  • Test case: Normal case or exception, using an agreed sample
  • Observation: Record what happened; do not assume a pass
  • Correction: Named change and repeat check, within scope

The bundles are new pilots. Related case stories describe earlier Ignite work, not this bundle.

How the work moves

Handoff and Exception Review. Establish the current operating baseline; Resolve ownership and exception rules; Test the revised process in use.

Proposed milestones

  • Week 1: Inspect a small case sample and document the baseline: delays, handoffs, rework or escalations.
  • Week 2: Agree the revised ownership and exception rules with the decision-makers.
  • Week 3: Deliver the revised map, SOP, test cases and operating-owner instructions.
  • Weeks 3-5: Run agreed normal and exception cases; support the client's bounded first use.
  • Weeks 4-6: Review the first operating evidence, correct in-scope defects and hand over the exception log.

Scope and responsibilities

Pilot scope and caps

One process and operating team, up to four stakeholder interviews, a current/future process map, decision-rights matrix, one SOP and exception route, one design review and one first-use review. Use current client tools.

Your delivery team

Scot: Lead case review, process mapping, operating detail, documentation and acceptance checks.

Josh: Resolve sponsor priorities and cross-functional ownership decisions.

Your team’s planning time

Planning budget: process owner 4-6 hours across discovery, validation and first-use review; other contributors attend their agreed interviews or decision sessions. Normal operating work remains client work.

Commercial unit and changes

Proposed fixed fee per defined process, with stakeholder, revision and test limits; technical changes separately scoped after feasibility review.

Additional populations, participants, roles, sources, meetings, workstreams or review periods are agreed as separate scope where relevant.

Proposed pilot scope. We agree the remaining work, usable inputs, responsibilities and fees before starting. Timing depends on accepted inputs and the required people being available. Your team retains approvals and its assigned business actions.

FAQ

Questions about this engagement

Scope, responsibilities and what happens next.

Can you work from our existing process map or AI-written procedure?
Yes. Bring current maps, procedures, policies and AI drafts. We review usable work and repair the gaps rather than recreate sound materials. The sprint focuses on one HR process or handoff and its normal and exception cases.
Does this include automation or HR-system integration?
The proposed sprint uses current client tools. Enterprise HRIS implementation and custom integrations are excluded. Automation or other technical changes require separate feasibility review, delivery capacity and scope.
What happens if we have no live cases during the sprint?
We can test agreed normal and exception cases without claiming proven live operation. The review must distinguish a tested process design from evidence of successful day-to-day use, and record the remaining first-use work.
